Digital Archiving and Preservation Policy

Geliotekhnika is committed to supporting the long-term preservation, integrity, authenticity, and accessibility of its published scholarly content.

The journal distinguishes digital preservation from indexing and from making content available on its current website. DOI registration, search-engine visibility, and inclusion in bibliographic databases do not, by themselves, constitute long-term digital preservation.

Current Preservation Status

As of the date this policy is published on the journal’s official website, the regular deposit and acceptance of the journal’s content by an external long-term digital preservation service have not yet been technically confirmed.

The journal therefore does not currently claim that its content is archived in the PKP Preservation Network (PKP PN), LOCKSS, CLOCKSS, Portico, or any other external preservation system. A specific service will be named in this policy only after journal content has actually been deposited and accepted and its preservation status has been verified.

Interim Backup and Recovery Measures

Until an external long-term preservation service becomes operational, I-EDU GROUP LLC, as the journal’s publishing and technical service provider, maintains recoverable backup copies of the following digital resources in coordination with the journal’s management:

  • final files of published articles, including PDF and, where available, HTML, XML, and other publication formats;

  • issue covers, tables of contents, and complete issue files;

  • supplementary materials published as an integral part of an article;

  • article, author, affiliation, keyword, bibliographic, and licensing metadata;

  • metadata associated with DOI registration and subsequent updates;

  • the journal database, platform configuration, and essential technical records required to restore the website.

Where practicable, backups are stored separately from the primary journal platform, protected against unauthorized access, and periodically checked for accessibility and restoration. Backup arrangements take account of the journal’s publication schedule, platform changes, and technical risks.

Operational backups are a recovery measure for the current service. They do not replace an independent and reliable external long-term digital preservation service.

Planned External Long-Term Preservation

The journal intends to implement a recognized external preservation service compatible with its publishing platform and technical capabilities. This may be the PKP Preservation Network or another appropriate internationally recognized digital preservation system.

The installation or activation of an archiving plugin, submission of a registration request, or appearance of a service name in the platform is not regarded as sufficient confirmation that the journal’s content has been preserved.

Once active external preservation has been verified, this policy will be updated to state:

  • the full name and official link of the preservation service;

  • the date on which active preservation began or was confirmed;

  • the types, years, and scope of content preserved;

  • the deposit frequency or automated update arrangements;

  • any applicable conditions for emergency recovery or public access after a trigger event.

Where possible, the journal will also provide a link to a public record or registry through which its preservation status can be independently verified.

File Integrity and Version of Record

The journal seeks to preserve the official published version of each article—the Version of Record. Preserved content is associated with the relevant bibliographic metadata, DOI, publication date, licensing information, and article status.

Corrections, retractions, Expressions of Concern, and other significant post-publication updates are linked to the original article and retained in accordance with the journal’s Corrections, Retractions and Post-Publication Updates Policy. The journal does not make silent changes that would obscure the history of the scholarly record.

Publication Continuity and Disaster Recovery

The journal seeks, as far as reasonably possible, to maintain access to published content in the event of technical failure, a cybersecurity incident, platform migration, domain change, change of publishing service provider, or discontinuation of the journal.

In such circumstances, the journal and its technical service provider will, within their respective authority, take steps to:

  • restore or migrate article files and metadata to a new platform;

  • update DOI destination information;

  • preserve links among articles, issues, and related post-publication notices;

  • initiate any emergency release or rehosting procedure provided by an external preservation service, where applicable.

Technical migration or recovery must not unjustifiably alter the scholarly content, authorship information, licence, or bibliographic identifiers of a publication.

Content Published Under Previous Publishing Arrangements

Geliotekhnika content published on other publishers’ platforms under previous publishing arrangements may remain subject to the contracts, copyright, licensing, and technical preservation terms applicable at the time of publication.

This policy does not claim ownership, alteration rights, or verified preservation status for files held on external platforms outside the journal’s control. Where legally and technically possible, the journal seeks to maintain accurate bibliographic records, DOI links, and stable links to the original location of previously published content.

After an external preservation service becomes operational, the scope of preservation under the journal’s current independent publishing model will be identified by specific content types and publication years.

Responsibilities

The journal owner and editorial management are responsible for approving the preservation policy, ensuring its transparency, and overseeing the accuracy of statements concerning external preservation status.

I-EDU GROUP LLC provides technical platform support, operational backup maintenance, data recovery, migration assistance, and technical integration with an external preservation system. These technical responsibilities do not give I-EDU GROUP LLC authority to evaluate manuscripts or make editorial decisions.

Policy Review and Administration

This policy will be reviewed when an external preservation service is activated, when the platform or publishing model changes, or when there is a material change in the scope of preserved content.

This policy takes effect on the date of its publication on the journal’s official website. Subsequent revisions will be identified by their publication date.
